Privacy Policy
1. Who we are
This Privacy Policy describes how Viera Professional Services LLC, dba Apogee Leadership ("Apogee Leadership", "we", "us") handles information.
Contact: hello@apogeeleadership.co (email) and 321-553-5569 (phone).
2. What this policy covers
This policy applies to:
- Visitors to apogeeleadership.co
- Prospective clients who contact us
- Clients who work with us through coaching, advisory, or related services
It covers both information shared through the website and by email/meetings.
3. Our privacy philosophy
- Collect the minimum data needed to deliver services.
- Use privacy-focused tools (including Proton Mail, Proton Calendar, and Proton Drive) for client communications and files.
- No data selling, renting, or using client lists for ad targeting.
- Treat all business discussions as confidential advisory conversations, within practical and legal limits.
4. Information we collect
We may collect:
- Contact details you provide: name, email, phone, company, role.
- Session information: notes from coaching or advisory sessions, documents you choose to share, action items and follow-ups.
- Scheduling details: meeting dates, times, and channels (e.g., Zoom, phone) through our booking tools.
- Basic website information: Standard technical logs from our website host (e.g., IP address, browser type) needed to operate and secure the site.
- We do not intentionally use third-party advertising cookies or behavioral analytics that profile visitors across other sites. If our website platform adds any non-essential cookies, we will seek to disable them or request consent where required.
5. How we use information
We use your information to:
- Respond to inquiries and schedule calls.
- Deliver coaching and advisory services.
- Maintain a record of our work together (e.g., goals, progress, recommendations).
- Send operational emails such as confirmations, follow-ups, invoices, and essential updates.
- Maintain our business records and comply with legal, tax, and accounting obligations.
We do not use your information to:
- Build advertising audiences on social platforms.
- Sell or rent client or prospect data to anyone.
6. Communications and security (Proton-aligned)
To protect the confidentiality of our work:
- We use Proton Mail for client email and Proton Calendar and Proton Drive for scheduling and file storage. These services are designed with end-to-end encryption and a "zero-access" architecture on Proton's side for supported data types.
- Some metadata (such as sender/recipient email addresses and timestamps) may still be processed by Proton to operate the service, under Proton's own privacy policies.
- When you email us from a non-Proton provider (for example, Gmail, Outlook, or a corporate mail system), the security and privacy of your mailbox are governed by that provider's policies on your side.
- We also use other service providers necessary to run the business (for example, website hosting, booking tools, video conferencing, and accounting systems). Where possible, we choose providers with strong security practices and limit the data they receive to what is necessary.
7. Confidentiality of in-person and virtual conversations
Owners and leaders often share highly sensitive information with us. Our default stance is confidentiality:
- We treat all coaching and advisory conversations (in person, by phone, or online) as confidential.
- We may reference anonymized learnings (e.g., "a client in manufacturing increased on-time delivery by 20%"), but will not identify clients or share identifiable business details without explicit permission.
- Exceptions: We may disclose information if required by law, court order, or to prevent serious harm to you or others.
- If you want a formal confidentiality or non-disclosure agreement (NDA), we are open to signing one subject to mutual review.
8. Data retention
We keep information only as long as reasonably needed to:
- Deliver and document our services.
- Maintain a useful working history for ongoing client relationships.
- Meet legal, tax, and regulatory requirements (for example, recordkeeping for invoices and contracts).
- When information is no longer needed, we aim to delete or de-identify it within a reasonable timeframe, subject to legal requirements and backup/archival constraints.
9. How we share information
We may share your information with:
- Service providers who support our operations (e.g., hosting, email, booking, video conferencing, accounting), strictly for the purpose of providing these services to us.
- Professional advisors (such as legal or accounting) when reasonably necessary and under appropriate confidentiality expectations.
- Authorities, regulators, or law enforcement if required by applicable law or legal process.
- We do not sell, rent, or otherwise trade your personal information for marketing purposes.
10. Your choices and rights
Depending on where you live, you may have rights to:
- Request a copy of the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete some or all of your information, subject to legal and contractual constraints.
- Object to or limit certain types of processing.
You can make these requests by emailing hello@apogeeleadership.co. We may need to verify your identity before acting on a request and may not be able to comply where doing so would conflict with legal obligations or our legitimate need to maintain business records.
11. Third-party websites and tools
Our website may link to or embed third-party services (such as booking tools or video platforms). Those services are governed by their own privacy policies, and we encourage you to review them before using those tools.
12. Changes to this policy
- We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Material changes will be highlighted in a reasonable way (for example, a notice on the website).
- If you continue to use our site or services after an updated policy is posted, that will indicate you have read and understood the changes.
